KVKK Information Notice

This information notice is effective as of the date shown on this page.

This is the English translation of our “KVKK Aydınlatma Metni”, prepared under Article 10 of the Turkish Personal Data Protection Law No. 6698 (“KVKK”) and the Communiqué on the Procedures and Principles to Be Followed in Fulfilling the Obligation to Inform. It informs visitors of the deepmanage.com website and people who fill in its forms. In case of any discrepancy, the Turkish version prevails. Your personal data is processed by our company, as data controller, whose details are as follows:

Contact form

  • Data processed: Full name, email address, organization, phone number (optional) and the content of your message.
  • Purpose: Answering your question or request and communicating with you about it.
  • Legal ground: KVKK Article 5(2)(f): processing is necessary for the Company’s legitimate interest in answering enquiries addressed to it, provided that it does not harm your fundamental rights and freedoms. If your request concerns a quote or the preparation of a contract, also KVKK Article 5(2)(c): processing is directly related to the establishment or performance of a contract.

Demo request form

  • Data processed: Full name, email address, organization, phone number (optional), job title (optional), number of devices to be managed, preferred deployment model (cloud, on-premises or undecided) and your message (optional).
  • Purpose: Evaluating your demo request, preparing and delivering a demo suited to your organization, preparing a quote related to your request and conducting sales communication within the scope of that request.
  • Legal ground: KVKK Article 5(2)(c): processing is necessary because it is directly related to the establishment or performance of a contract; in addition, the Company’s legitimate interest under KVKK Article 5(2)(f).

Information you submit through the forms is sent to info@deepmanage.com and recorded in the Company’s customer request system. We use it only for the request you sent. We do not send you commercial electronic messages for marketing purposes based on the information you provide in a form; such communication is possible only if your separate explicit consent and approval are obtained.

Please do not include special categories of personal data, such as health information, or any other personal data that is not needed for your request in the message field.

Server logs

  • Data processed: IP address, date and time of access, requested page address (URL) and browser information (user agent).
  • Purpose: Keeping the website secure, detecting and preventing misuse, fixing technical faults and fulfilling obligations under applicable legislation.
  • Legal ground: KVKK Article 5(2)(ç): processing is necessary for the data controller to fulfil its legal obligations (including, where applicable, Law No. 5651 on the Regulation of Publications on the Internet and Combating Crimes Committed by Means of Such Publications); and KVKK Article 5(2)(f): the Company’s legitimate interest in operating the website securely and without interruption.

Form security (Google reCAPTCHA)

  • Data processed: On form pages, IP address, browser and device information, interactions with the page and the risk score that Google reCAPTCHA derives from this information.
  • Purpose: Protecting the contact and demo forms against automated submissions, spam and abuse.
  • Legal ground: KVKK Article 5(2)(f): processing is necessary for the Company’s legitimate interest in keeping the website and its forms secure, provided that it does not harm your fundamental rights and freedoms.

Google Analytics

  • Data processed: The random visitor ID stored in cookies, pages visited, visit duration and interactions, referring site, approximate location (country/city level), device, operating system, browser and language. Google Analytics 4 does not log IP addresses.
  • Purpose: Analysing how the website is used and improving its content and user experience. The data is not used for advertising or personalization.
  • Legal ground: Your explicit consent under KVKK Article 5(1). Google Analytics runs only if you choose “Accept” in the consent banner on the website. You can withdraw your consent at any time with the “Cookie preferences” link at the bottom of the page.

Language and theme preference

The site language you choose (Turkish or English) your light/dark theme preference and your cookie consent choice are stored in your browser’s local storage under the keys dm-lang, dm-theme and dm-consent. This information is not sent to the Company and stays only on your device. For details, see our Cookie Policy.

Method of collection

Your personal data is collected electronically: from you, when you fill in the forms on the website, and by automated means through the web server and, if you consent, through Google Analytics cookies when you visit the website.

Transfer of personal data

We do not sell your personal data or share it with anyone for advertising. Limited to the purposes above and in accordance with Article 8 of the KVKK, your data may be transferred to the following groups of recipients:

  • Service providers that provide technical services such as website hosting and email on the Company’s behalf and act as data processors under the Company’s instructions;
  • Microsoft Ireland Operations Limited and its affiliates, which provide the Microsoft 365 email service through which form submissions are delivered and stored;
  • Google Ireland Limited and its affiliate Google LLC, for the reCAPTCHA service used in the forms and, if you consent, for the Google Analytics service;
  • Authorized public institutions and organizations and judicial authorities, where requested under our legal obligations and limited to that request.

The servers hosting the website are located in Ankara, Türkiye. Server logs are not transferred abroad.

The information you submit through the forms is delivered and stored through the servers of Microsoft (Microsoft 365), which provides our email service, outside Türkiye. Data processed through reCAPTCHA on form pages and, if you consent, through Google Analytics is transferred to Google’s servers abroad, mainly in the European Union and the United States. These transfers are made under Article 9 of the KVKK on the basis of standard contracts signed with the respective service providers and notified to the Personal Data Protection Board.

Retention period

We keep your personal data for as long as necessary for the purpose for which it is processed and for the periods required by applicable legislation:

  • Form submissions: 1 year
  • Server logs: 2 years
  • Google Analytics data: 14 months

At the end of these periods your personal data is deleted, destroyed or anonymized in accordance with the Regulation on the Deletion, Destruction or Anonymization of Personal Data.

Your rights under Article 11 of the KVKK

Under Article 11 of the KVKK, by applying to the Company you have the right to:

  • Learn whether your personal data is processed;
  • Request information about the processing, if your personal data has been processed;
  • Learn the purpose of the processing and whether your data is used in line with that purpose;
  • Know the third parties in Türkiye or abroad to whom your personal data is transferred;
  • Request correction of your personal data if it is incomplete or inaccurate;
  • Request deletion or destruction of your personal data under the conditions set out in Article 7 of the KVKK;
  • Request that third parties to whom your personal data has been transferred be notified of the correction, deletion or destruction;
  • Object to a result against you arising from the analysis of the processed data exclusively by automated systems;
  • Claim compensation for damage you suffer because of unlawful processing of your personal data.

How to apply

In accordance with the Communiqué on the Procedures and Principles of Application to the Data Controller, you can send your requests in Turkish to the Company in one of the following ways:

  • By delivering in person, or sending by post, a written application bearing your wet signature to “Fatih Sultan Mah., Dumlupınar Blv., 2700. Cad., ARP Kule İş Merkezi No:3/13, 06790 Etimesgut, Ankara, Türkiye”;
  • By sending it from your registered electronic mail (KEP) address to infolineas@hs01.kep.tr;
  • By signing it with a secure electronic signature or mobile signature, or by sending an email to info@deepmanage.com from an email address you have previously notified to the Company and that is registered in our records.

Your application must include your name, surname and, for written applications, your signature; for citizens of the Republic of Türkiye, your Turkish identity number; for foreign nationals, your nationality and passport number or, if any, identity number; your residential or business address for notifications; your email address, phone and fax number for notifications, if any; and the subject of your request. You may attach relevant information and documents.

Your application will be concluded free of charge as soon as possible, depending on the nature of the request, and within thirty days at the latest. However, if the action requires an additional cost, a fee set out in the tariff determined by the Personal Data Protection Board may be charged. Our response will be sent to you in writing or electronically. We may ask for additional information to verify your identity.

If your application is rejected, you find the response insufficient, or no response is given in time, you may file a complaint with the Personal Data Protection Board under Article 14 of the KVKK within thirty days of learning of the response and, in any case, within sixty days of the application date.

Processing outside the scope of this notice

This information notice covers only personal data processed through the deepmanage.com website. For data about devices managed with the DeepManage product and the users of those devices (for example, employees of customer organizations), the data controller is the customer organization using the product. In cloud deployments, Infoline acts as a data processor under its agreement with the customer; in on-premises deployments, Infoline does not process this data. For requests about such data, please contact the organization concerned first.

Changes

We may update this information notice in line with changes in legislation or in our processing activities. The current version is always published on this page together with its update date.
